Membership Committee Personnel & Procedures

Committee Structure Overview

Chairperson: The Chapter Vice-President

Composition

  • Minimum of five (5) members
  • Maximum of seven (7) members
  • Must be current Active Members
  • Must be in good standing

Required Representation

  • One (1) member from DFW Area
  • One (1) member from Houston Area
  • One (1) member from Austin/San Antonio
  • One (1) member from West/South/East Texas

Special Appointees & Restrictions

  • Includes exactly one (1) Past President.
  • Includes exactly one (1) Founding or Charter Member (if feasible; non-mandatory).
  • Ineligibility: Individuals serving as primary nominating members are completely ineligible to serve on this committee.

Nomination Procedures & Timeline

The nomination and selection cycle runs strictly on the following annual timeline:

  • September: The Vice-President formally solicits candidate nominations from the chapter.
  • November 30th: Absolute deadline for submission. All nominations require a designated co-sponsor.
  • Documentation: Candidates must be fully documented via the official online form and letters of recommendation. Completed portfolios are disseminated to the committee via email. Incomplete files are deemed invalid.
  • January 5th: Deadline for the committee to submit recommended candidates to the Chapter President.
  • February 1st: Qualified nominees must be presented to the general membership for a vote.
Voting & Induction Requirements: Election to membership requires an affirmative vote of seventy-five percent (75%) of the total votes cast. New members are formally inducted at the annual TMEA business meeting upon satisfaction of all financial obligations.

Candidate Notifications

In the event that a candidate portfolio is not presented to the membership for a general vote, the Committee Chair is required to provide a formal written explanation to the primary nominating member.

Official Appeal Process

Eligibility for Appeal

A primary nominating member may initiate a formal appeal if their nominee's file was deemed invalid due to documentation issues, or if the nominee was not recommended by the committee for the general membership vote.

1. Filing the Appeal

  • Deadline: Must be submitted in writing to the Chair within seven (7) business days of receiving the non-advancement notification.
  • Requirements: The appeal must specifically address Selection Criteria (engagement in orchestral music, professional leadership, commitment to excellence, or ethical conduct) or directly supply missing documentation.

2. Review & Resolution Timeline

  • All filed appeals shall be evaluated by the full committee during a designated special session.
  • The Committee must review and issue a final determination within ten (10) business days of receipt.
  • To preserve the schedule, all appeals must be completely resolved no later than January 1st.
  • The final, verified list of recommended candidates shall be sent to the President no later than January 5th.
